Unintentional Data Exposure

In today’s digital workplace, data is one of our most valuable assets. However, unintentional data exposure can occur when sensitive information is accidentally shared, accessed, or made vulnerable to unauthorized individuals. Understanding how to recognize, prevent, and respond to such incidents is critical for safeguarding our organization and maintaining trust. 

What is Unintentional Data Exposure?

Unintentional data exposure occurs when sensitive or confidential information is inadvertently:

  • Sent to the wrong recipient via email or messaging
  • Uploaded to an incorrect or unsecured location
  • Shared during conversations in public or unsecured environments
  • Left visible on screens or documents in common areas

How to Prevent Unintentional Data Exposure?

1.  Be mindful of Communications:

    • Double check email recipients and attachments before sending.
    • Use organization-approved tools for sharing sensitive files.
    • Avoid discussing sensitive topics in public areas.

2.  Secure your Workspace:

    • Lock your computer screen when stepping away.
    • Store physical documents in secure locations.
    • Use privacy filters for your screen in shared spaces.

3.  Follow Data Handling Protocols:

    • Ensure sensitive data is only stored on approved devices or cloud services.
    • Regularly review and update sharing permissions on files and folders.
    • Dispose of physical and digital records securely.

4.  Stay Vigilant Online:

    • Be cautious of phishing attempts and verify the legitimacy of unexpected requests.
    • Avoid clicking on links or downloading attachments from unknown sources.

What to do if Unintentional Data Exposure Occurs.

Accidents happen, and prompt reporting allows us to mitigate risks quickly and effectively. If you believe unintentional data exposure has occurred:

1.  Report Immediately:

    • Notify ServiceDesk immediately.
    • Provide details about the incident, what data was involved and how the exposure occurred.

2.  Do Not Attempt to Conceal:

    • Transparency is key. Addressing the issue early can prevent further exposure.

3.  Follow Instructions:

    • The Security Team will guide you through steps to secure the data and assess potential risks.
